Travel plans sometimes change. This policy explains how we manage cancellations, reservation changes, refunds, flight delays, waiting times, and no-shows for our private transportation services in Costa Rica.

Payment and Reservation Confirmation

All reservations must be paid in advance by credit card or PayPal. After submitting your reservation request, you will receive confirmation details and payment instructions by email.

Your reservation is confirmed once payment has been received. Reservations that remain unpaid within 24 hours of the scheduled pickup may be canceled automatically.

Free Cancellation Up to 24 Hours Before Pickup

You may cancel or modify your private airport transfer up to 24 hours before the confirmed pickup time without cancellation fees. Eligible prepaid reservations will be refunded to the original payment method.

Cancellations Made Less Than 24 Hours Before Pickup

Cancellations received less than 24 hours before pickup may be charged partially or in full. The applicable amount depends on driver assignment, vehicle preparation, scheduling commitments, and other operational costs already incurred.

Contact us immediately when an unexpected situation affects your trip. We will review each request and help whenever operationally possible.

Reservation Changes

Changes to the pickup time, pickup location, destination, passenger count, luggage, flight information, or child-seat requirements should be requested as early as possible.

Changes requested less than 24 hours before pickup depend on driver and vehicle availability. A change in route, group size, or service duration may result in an additional charge.

Refund Processing Time

Approved refunds are returned to the original payment method. Credit card refunds may take approximately 10 to 15 business days to appear, depending on your bank or payment provider.

Airport Transfer Costa Rica cannot control processing delays caused by banks, card issuers, or payment platforms after a refund has been submitted.

No-Show and Pickup Readiness Policy

Passengers must be ready at the confirmed pickup location and time. We recommend being ready at least 15 minutes before departure.

For hotel, vacation rental, and private residence pickups, a 15-minute grace period may be allowed. If the passenger is not present and has not contacted our team, the reservation may be considered a no-show and charged in full.

Airport Arrivals and Flight Delays

For airport arrivals, we monitor the flight information supplied with the reservation and adjust the pickup time whenever possible. Normal immigration, baggage claim, and customs processing time will be considered.

Keep your mobile phone active after landing and check WhatsApp, text messages, or email for driver information. You can also review our Costa Rica airport pickup instructions before arrival.

If You Cannot Locate Your Driver

Remain in the official arrivals or pickup area and contact us immediately. Please do not leave the airport with another transportation provider before speaking with our team.

Airport traffic, parking restrictions, or access conditions may occasionally require a few additional minutes. Airport information staff may also assist you with locating the meeting area.

Airline Cancellations and Medical Emergencies

If an airline cancels your flight or a serious medical emergency prevents travel, contact us as soon as possible. Supporting documentation, such as an airline notice or medical certificate, may be requested.

We will review the circumstances and determine whether the service can be rescheduled or whether a full or partial refund applies.

Multiple Transfer Reservations

If a booking includes several transfers and the passenger does not appear for the first service without contacting us, the missed transfer will be charged in full.

Remaining services may be canceled automatically unless the passenger confirms that they are still required. Any applicable refund will be reviewed under this policy.

Incorrect or Incomplete Reservation Information

Customers must provide accurate dates, flight numbers, pickup locations, destinations, passenger counts, luggage information, and contact details.

Airport Transfer Costa Rica is not responsible for missed services, delays, or additional expenses caused by incorrect or incomplete information supplied by the customer.

Weather, Road Conditions, and Events Beyond Our Control

Heavy rain, traffic accidents, road closures, natural events, strikes, airport restrictions, or other circumstances beyond our reasonable control may affect transportation schedules.

We will make every reasonable effort to provide the service safely and minimize delays. Delays caused by events outside our control do not automatically qualify for a refund.

Tours and Third-Party Services

Tour reservations, ferry tickets, park admission, activity bookings, special arrangements, and other third-party services may have different cancellation deadlines.

Certain prepaid supplier costs may be non-refundable. Any special cancellation conditions will be communicated before payment whenever applicable.

Contact our transportation team as soon as possible. Early notification gives us more flexibility to modify your service without additional charges.
